Roles and Permissions in Kuda Business

  • Super Admin (Business Owner): Full control of the account and all teammates.

  • Admin: Full account access and can manage teammates (but cannot edit/remove the Super Admin or other Admins).

  • Accountant: Can be assigned to multiple accounts, with View-Only or Full Access (based on what you set).

  • Employee: Can only be assigned to one account, with View-Only or Full Access.

How to add a teammate

  1. Open the Kuda Business app and select your business (if you manage more than one).

  2. Go to Hub → Teams (or More → Manage Teammates).

  3. Tap Invite a Teammate.

  4. Enter their details: first name, last name, email, and job role.

  5. Assign a role and choose what accounts they can access (Main, Expense, POS).

  6. Choose access level: View-Only or Full Access.

  7. If you choose Full Access, set transaction permissions:

    • Initiator, Approver, or Both

    • Add the right transaction limits

  8. Tap Send Invite.

    • Your teammate will get an email invite to accept and join your business profile.

Note: Only the Business Owner (Super Admin) or an Admin can invite and manage teammates.

Transaction Permissions: Initiator, Approver & Both

If you assign a teammate Full Access, you must choose how they can handle transactions. These options determine who can make, approve, or complete payments and at what limits. Here’s what each option means:


Initiator

This teammate can make transactions but only up to the Initiator Single Transaction Limit you set. Anything above that amount automatically requires approval from someone else.

Can do

  • Make payments up to their limit

  • Move funds within their limit

  • Create requests for approval

Can’t do

  • Approve any transactions

  • Complete transactions above their limit

Ideal for Procurement staff, operations assistants, junior finance roles.


Approver

This teammate cannot initiate payments. Their job is to review and approve transactions created by others.

Can do

  • Approve or decline requests within their approver limits

  • Review transactions waiting for approval within their approver limits

Can’t do

  • Initiate any transactions

  • Approve transactions above their approver limit

Ideal for Finance managers, business owners, compliance reviewers.


Both (Initiator + Approver)

This teammate can initiate and approve transactions. They follow two limits: one for making transactions, one for approving transactions.

Can do

  • Initiate payments (within initiator limit)

  • Approve payments (within approver limit)

Can’t do

  • Transact above the set limits

Ideal for Senior finance staff, operations managers, trusted senior team members.


POS Account Access

If you give a teammate access to POS, it applies to all POS accounts on your business profile.

  • View-Only: Can view POS balances, history, and settlement reports.

  • Full Access: Can also sweep funds to the Main Account and schedule auto-sweep.

Note: For security, funds can only move from POS to Main Account (not to external accounts).
