Roles and Permissions in Kuda Business

Overview

Kuda Business lets you give different team members specific roles based on their responsibilities. Each role comes with its own set of permissions that determine what actions they can take in your business account.

Available roles

Kuda Business offers three distinct roles you can assign to your team members:

Approver

What they can do:

  • Approve or decline transactions initiated by other team members

  • View all account transactions

  • Download transaction history

Ideal for: Managers, financial officers, or anyone who needs the authority to approve payments before they're completed.

Example: Your finance manager would be an Approver who can review and authorize payments set up by your accountant.

Initiator

What they can do:

  • Create new transactions (transfers, bill payments, etc.)

  • View all account transactions

  • Download transaction history

What they can't do:

  • Complete transactions they've initiated (these require approval)

Ideal for: Team members who need to set up payments but shouldn't have final approval authority.

Example: Your accountant could be an Initiator who prepares vendor payments but needs approval before funds are sent.

Viewer

What they can do:

  • View all account transactions

  • Download transaction history

What they can't do:

  • Create transactions

  • Approve transactions

Ideal for: Accountants, auditors, or team members who need visibility but not transaction authority.

Example: Your external auditor could be a Viewer who needs to see transactions but shouldn't initiate or approve them.

Multi-role assignments

You can assign multiple roles to a single team member. For example:

  • A teammate with both Approver and Initiator roles can create transactions and approve transactions (including those initiated by others)

  • Each role will have its own transaction limit

Transaction limits

Each role with transaction capabilities (Approver and Initiator) has its own transaction limit:

  • Approver Transaction Limit: The maximum amount a team member can approve in a single transaction

  • Initiator Transaction Limit: The maximum amount a team member can initiate in a single transaction

These limits provide additional control over financial activities and reduce risk.

Role management

Only Account Owners and Admins can:

  • Add new team members

  • Assign or change roles

  • Set or modify transaction limits

  • Remove team members

Checking current roles and permissions

To view current team members and their roles:

  1. Sign in to your Kuda Business account

  2. Navigate to the left menu and click "More"

  3. Select "Manage Teammates"

  4. Review the list of team members and their assigned roles
