Approving Transactions from Teammates

Overview

If you've been assigned the Approver role in a Kuda Business account, you'll need to review and approve transactions initiated by your teammates. This approval system adds an extra layer of security to your business finances and helps prevent unauthorized payments.

How to know when transactions need approval

When transactions are waiting for your approval, you'll be notified in several ways:

  1. Dashboard Banner: A "Pending Payment Approvals" banner will appear on your dashboard

  2. Email Notification: You'll receive an email alert when a new transaction needs your approval

  3. In-app Notification: The app will show a notification for pending approvals

Step-by-step guide to approving transactions

1. Access the Transaction Requests page

From the dashboard:

  1. Look for the "Pending Payment Approvals" banner

  2. Click on the banner to go to the Transaction Requests page

OR using the menu:

  1. Click on "Transactions" in the left menu

  2. Select "Transaction Requests"

2. View pending requests

  1. On the Transaction Requests page, you'll see two tabs:

    • Received Requests: Transactions others have initiated that need your approval

    • Sent Requests: Transactions you've initiated that need approval from others

  2. Make sure you're on the "Received Requests" tab

  3. To see only transactions waiting for approval:

    • Click the "Status" dropdown filter

    • Select "Pending"

3. Review transaction details

  1. Click on any pending transaction to view its details

  2. A "Confirm Transaction" pop-up will appear showing:

    • Recipient's name and account details

    • Transaction amount

    • Description/narration

    • Date requested

    • Name of the teammate who initiated it

4. Make your decision

After reviewing the transaction details, you have two options:

  • Approve: Click the "Approve" button if the transaction is correct and authorized

  • Decline: Click the "Decline" button if you spot any issues or the transaction shouldn't proceed

5. Confirmation

After approving or declining a transaction:

  1. You'll see a confirmation message

  2. The transaction status will update automatically

  3. The initiator will be notified of your decision

Managing transaction requests

Viewing transactions by status

Use the Status filter to view transactions by their current state:

  • All: Shows all transaction requests regardless of status

  • Pending: Shows only transactions awaiting your approval

  • Approved: Shows transactions you've already approved

  • Declined: Shows transactions you've previously declined

Transaction approval limits

You can only approve transactions up to your assigned Approver Transaction Limit. If a transaction exceeds your limit, it will need approval from someone with a higher limit or the Account Owner.

Important things to remember

  • Always verify details: Check recipient details, amount, and purpose before approving

  • Approval is final: Once approved, transactions will be processed immediately

  • Declined transactions: Can be re-initiated if needed

  • Security first: Never approve transactions you're unsure about
