Why can’t I see the option to add team members?
You can only add team members if your business account has been fully approved. If you’ve not completed your full business onboarding, you might not be able to access the feature. Also, Freelancer accounts i.e. unregistered businesses cannot use Team Banking.
Who is allowed to add or manage team members?
Only the Business Owner (Super Admin) and Admins can invite, edit, deactivate or reactivate teammates.
What roles are available on Kuda Business?
There are four roles you can assign:
Super Admin
Admin
Accountant
Employee
Each role comes with specific permissions.
What is a Super Admin?
The Super Admin is the business owner. They have full control over the Kuda Business account, including:
Managing all account settings
Adding, editing, or removing teammates
Viewing and controlling all transactions and features
There can only be one Super Admin per business.
What can an Admin do?
An Admin has full access to the business account and can:
Manage day-to-day account activities
Add, edit, and remove teammates
However, an Admin cannot edit or remove the Super Admin or other Admins.
What access does an Accountant have?
An Accountant can be assigned to more than one business account.
Their access can be set as:
View-Only Access – to monitor transactions and balances
Full Access – to manage account activities (as permitted)
This role is ideal for external or in-house accountants.
What access does an Employee have?
An Employee can only be assigned to one business account.
Just like Accountants, Employees can be given:
View-Only Access, or
Full Access, depending on your needs
This role is best for staff who need limited or role-specific access.
What’s the difference between View-Only and Full Access?
View-Only Access: Users can see account details but cannot make changes or carry out transactions.
Full Access: Users can perform actions on the account based on their assigned role.
My teammate didn’t receive their email invitation. What should I do?
Ask them to check their spam/junk folder. If the email still isn’t there, go to Teams → Invites and tap Resend Invite. You can also edit invitations to re-adjust email and resend.
Note: You can only resend an invite if it has expired, was cancelled or edited.
What happens if the invitation expires?
Invitations expire after 24 hours. You can resend a new one from the Invites tab or cancel where necessary.
Can I change a teammate’s email address after sending the invite?
Yes, while the invite is still pending. Once you edit the email, the old invitation link becomes invalid.
Can I edit a teammate’s role or permissions later?
Yes. After they accept the invite, you can edit their role, assigned accounts and permissions anytime from More >> Manage Teammates.
Will my teammate see all my accounts by default?
No. You choose exactly which accounts they can access. i.e. Main, Expense or POS Accounts, and whether each one is View Access or Full Access.
What if my teammate needs to make or approve payments?
Give them Full Access on at least one account, then choose either:
Initiator
Approver
Both (Initiator + Approver)
Note: You’ll also set their transaction limits.
Can a teammate approve their own transactions?
Yes, if they have both initiator, approver access and the transaction is within.
How do I remove a teammate’s access?
Open Teams → Select Teammate → Deactivate. They lose access immediately. You can reactivate them at any time.
Can I add unlimited team members?
Yes. There’s no limit to the number of teammates you can add.
What does “Job Role” mean when inviting a teammate?
It’s simply the teammate’s actual job title in your business (e.g., “Store Manager”, “CTO”, “Payables Accountant”). It doesn’t affect permissions.
Can teammates access my POS accounts?
Yes. A teammate can access your POS accounts only if you assign it to them and choose their access (Full or View-Only).
Is the teammate charged any fees?
No. Teammates simply get secure access to your business account. They cannot open or manage accounts for your business outside the access you assign.
